1. Program Overview
A3 Environmental Consultants, LLC (“A3 Environmental,” “we,” “us”) sends SMS messages to clients and prospects in connection with environmental consulting projects we perform for them. This policy describes how we collect, use, and protect your mobile phone number and consent records in connection with this SMS program. Consent to receive SMS messages is not a condition of purchasing any goods or services.
2. How You Opt In
There are three ways you may provide consent to receive SMS messages from A3 Environmental, and we record each one:
- Verbal consent on an inbound phone call. When you call A3 Environmental to inquire about services, our staff will read a short consent script and ask if it is OK to text you about your project (including the proposal, scheduling, site visits, and project updates). Each verbal consent is logged with the date, time, your name, your phone number, and the staff member who took the consent.
- Checkbox at Stripe checkout. When you engage A3 Environmental for paid services and pay an invoice through our Stripe checkout, you will be presented with a required Terms acceptance checkbox that reaffirms your consent to receive SMS messages about your project. The checkbox links back to this page.
- SMS reply confirmation. After your first outbound message from us, you may be asked to reply YES to confirm. Your reply is retained as additional evidence of consent.
3. Information We Collect
In connection with this SMS program we collect and store:
- Your mobile phone number
- Your consent record (timestamp, method of consent, staff member who logged verbal consent, script version, and any notes)
- Records of SMS message delivery (timestamps and delivery status)
- The content of messages exchanged with our team about your project
4. How We Use Your Information
Your mobile phone number is used to send and receive SMS messages related to environmental consulting services we are performing or have been asked to perform for you. Examples include delivering proposals, scheduling site visits, confirming meetings, sending project status updates, and responding to questions you send by SMS. Message frequency varies by project activity.
5. Data Sharing
A3 Environmental does not sell, rent, or share your mobile opt-in data, phone number, or messaging consent with third parties or affiliates. We share your phone number only with our SMS service provider (Twilio) for the sole purpose of delivering and receiving SMS messages on our behalf. Text messaging originator opt-in data and consent will not be shared with any third parties for marketing or promotional purposes.
6. Data Retention
We retain your phone number and consent record for as long as you have an active project relationship with A3 Environmental, plus a reasonable period afterward to meet recordkeeping and audit obligations. You may request removal of your phone number at any time by contacting us using the information below.
7. Opting Out
You may opt out of SMS messages from A3 Environmental at any time by:
- Replying STOP to any SMS message from us
- Calling A3 Environmental at (630) 507-9002 and asking us to remove you
- Emailing info@a3e.com with your request
After you opt out, you will receive one confirmation message and will not receive further SMS messages from us. Reply HELP at any time for assistance. Message and data rates may apply.
8. Security
Your phone number and consent record are stored using industry-standard encryption and access controls. Access is limited to A3 Environmental staff who need it to manage your project.
9. Changes to This Policy
We may update this policy from time to time. If we make changes, we will update the “Last Updated” date at the top of this page. Continued use of our SMS service after changes constitutes acceptance of the updated policy.
